Introducing the new AquaMail System

The postal strike is on hold at present. You the customer, now has the luxury of choice to deliver your booking form by our internal "AquaMail" post, or by using the standard postal service. We are finding that swimmers appear to like the ability and convenience of being able to hand in your booking forms to the class instructor. It is proving to be quite popular option. We are now reviewing whether to adapt and adopt the process for future terms. A huge thank you, to everyone, customers and instructors alike for your combined "D-Day" efforts to help us overcome the postal strike when in progress.

We probably do not need to inform every one of the current affairs regarding the once great Royal Mail. The present action, does have the potential of completely disrupting the entire booking process of our swimmers joining into the winter term classes.
To help us all avoid long delays and lost post not reaching the Aquatots office we are requesting that all of our swimmers join with us to help ensure our booking process into the winter term runs smoothly with no disappointed customers missing class slots or classes made unavailable due to the non receipt of the booking forms.
We are all trying to work together and combat the current postal strike, demonstrating the same Dunkirk spirit with the resolution and determination of our predecessors to meet our very own D-Day (deadline or delivery of post day).
We need to be able to say as a result of our efforts:
"Never in the field of such postal deferment have so many letters been delivered so smoothly, so quickly and so willingly by so few"
We suggest the solution lies in the opportunity to avoid using royal mail/post at all .
All booking documents are to travel out to customers from the office through the AquaMail system and returned to the office for processing the same way.
We must meet the deadline - 1st December - latest booking please
Your instructor will have your swim level and class time for you from 9th November onwards.
So with our hard hats on and dug deep into our mail bags, we have to display the true British spirit of meeting our very own D-Day, the 'D' being deadline and delivery day.
Summary of Action Plan - keep our children swimming
The process is quite simple and consists of three steps.
Step 1 - Receiving Your Booking Form:
These are normally posted to you. However, this term the swimmers are able to pick up the form from:
- Your instructor at the pool site.
- Use the online booking form for easy completion and print it.
The online booking form maybe found at Online Booking Form it's type friendly, you can fill in the booking form whilst viewing on the screen and then print it. Don't Forget to sign the form.

Please click on the 'Book a Course Now' link.
This will load the Online Booking form, simply fill in the required details and print the form.

Please now check the form and complete your payment cheques. Put these together ready to take to the pool.
Step 2 - Swimmers deliver their completed booking forms to their pool site
Please take your booking completed and your payment cheques to the pool site. Please insert your completed booking documents and payment into an envelope provided and 'post' to us using the 'AquaMail postbox'.

Alternatively, swimmers local to Aquatots Office may pop in or hand post their booking documents directly.
Step 3 - AquaMail Returned to the Office
The class teacher will return the AquaMail Box to the office weekly, or will arrange for its collection . This will ensure your booking is delivered to us in time. We must emphasize that you must meet the deadline with your booking documents to secure your swimming class placement.
Final Link - Returning the booking confirmation to you.
We will, on the day your booking is processed, send to your mobile phone and email a confirmation ,message to let you know we have completed your booking. The bookings will be placed on our system, from the moment we receive them to Christmas. Please do not panic. As long as we have your booking in the AquaMail Box, it will be processed in order.
Depending on what happens between now and the booking processing, we may drop off receipts to pool sites for customers to receive the hard copy of their winter term booking confirmation. We will be sending a text message and an email to each swimmer on the day their booking has been processed to confirm their place. This why it is vital we have their current mobile phone number on our system this term Please can all teachers remember to nag about us having correct emails and mobile numbers please.
The success of AquaMail and meeting the D-Day
The success of the system requires all parties to work together. We simply have to adopt the Dunkirk spirit and make the process work. If we fail, people are going to be without swim places next term.
We will release to you more detailed information of pick ups and drop offs as we progress with building the system.
We will start by requesting that swimmers complete their bookings as soon as they are able and return their documents to us in time meet the deadline please. Remember the deadline is the latest date for us to receive your booking
